Planning your trip

If this is your first flight, or your first long trip away

Flying is mostly routine: check in, go through security, board, fly, collect bags, leave the airport. The list below is deliberately detailed so nothing feels like a surprise. If anything worries you, message us; we would rather answer twice than have you stress alone.

• ·Your airline’s website and app are the source of truth for bag allowances, check-in windows, and gate changes; bookmark your booking confirmation email.
• ·Build in buffer: if you can, land at least one full day before Saturday’s Stockyards meet-up so a delayed flight does not make you miss the whole weekend.

Before you book: passports, names, and US entry

ESTA (Electronic System for Travel Authorization) is not a visa. It is an online registration linked to your passport that tells US Customs and Border Protection you are eligible to travel under the Visa Waiver Programme for short tourism or business visits (usually up to 90 days). You apply once per passport, pay a fee, and receive an approval status; airlines check it before you board. It does not guarantee entry; the border officer makes the final decision.

• ·Check your passport expiry date early: many airlines want at least six months’ validity beyond your return date for travel to the US.
• ·Book tickets in exactly the same name order and spelling as your passport (including middle names if they appear on the passport). Mismatches can mean denied boarding.
• ·Apply for your ESTA through the official US government site only (scam sites exist). Apply as soon as you know you are travelling; many approvals come back quickly, but do not rely on same-day turnaround before a non-refundable flight.
• ·Print or save your ESTA approval and your return flight details; US border officers may ask how long you are staying and where you are sleeping.
• ·Travel insurance that includes US medical cover is strongly recommended; keep the insurer’s emergency number somewhere offline (screenshot).

Choosing and managing your flights

• ·Non-stop London (usually Heathrow) to Dallas–Fort Worth (DFW) is the simplest pattern for this wedding, with fewer chances for missed connections and lost bags.
• ·If you book a connecting flight, leave a generous gap (often 2–3+ hours for international-to-international) so a delay does not strand you.
• ·“Basic economy” fares can be cheaper but may not include a checked bag or advance seat choice; read the fare rules before you pay.
• ·Add any dietary needs or accessibility requests in the airline profile or at booking; follow up if you do not get a confirmation.
• ·Download your airline’s mobile app and turn on notifications for gate changes; large hubs like Heathrow and DFW move flights often.

Getting to London airports (coach, parking, and the Tube)

Heathrow long-stay parking adds up, especially for a week away. Mixing coach travel or parking further out with public transport can save a lot.

• ·National Express runs coaches from towns and cities across the UK to Heathrow (and other London airports); compare the total cost against driving and airport parking; advance tickets are often the best value.
• ·If you prefer to drive part-way: Reuben has parked on residential streets around Greenford, Hayes, and Southall without problems, then taken the Tube, a local bus, or an Uber for the last leg to the airport. Always check signs (CPZs, residents’ bays, permit holders), do not block driveways, hide valuables, and accept that any on-street spot is at your own judgement.
• ·Leave slack for M25 / M4 traffic; journey times can double in rush hour.

Packing: cabin bag, checked bag, and security rules

• ·Carry-on (“hand luggage”) stays with you; checked bags go in the hold. Keep valuables, medicines, chargers, a change of clothes, and wedding-weekend essentials in carry-on if possible.
• ·Liquids in carry-on through UK security: each container max 100 ml, all inside one resealable 1-litre plastic bag; larger toiletries must go in checked luggage or be bought after security.
• ·Laptops and large tablets usually come out of your bag at UK security; small phones can often stay inside. Follow the signs on the day.
• ·Power banks and spare lithium batteries must stay in carry-on, not checked luggage; tape loose battery contacts if needed.
• ·Pack prescription medicines in original packaging with a copy of your prescription or a doctor’s letter if anything is controlled or injected.
• ·Leave a little room or weight headroom in your bag for souvenirs; US domestic flights you add later may have stricter carry-on sizing.

Day of departure (UK side)

• ·For long-haul from Heathrow, aim to arrive about three hours before departure unless your airline says otherwise.
• ·Complete online check-in when it opens (often 24 hours ahead) to pick seats and reduce time at the airport.
• ·Have your passport and boarding pass ready at bag drop, security, and the gate; keep them somewhere easy to reach.
• ·Wear comfortable layers; cabins can feel cold even when Texas is warm.
• ·Charge phones before you leave; consider a small plug adapter for US sockets (type A/B) if you are bringing UK chargers.

Security, the gate, and boarding

• ·After check-in or bag drop, follow signs to “Departures” and “Security”. Queues vary; patience and water after security help.
• ·Empty pockets into your bag where possible; watches and belts sometimes need to come off; listen to what the officers ask for on the day.
• ·Find your gate on the departure screens as soon as you are through security; large terminals mean long walks.
• ·Boarding is usually in groups or rows; wait until your group is called so the jetway stays orderly.
• ·If you need extra time boarding because of mobility, children, or anxiety, ask the airline in advance for priority boarding assistance.

On the plane: what to expect

• ·Cabin crew give a safety briefing; your nearest exit may be behind you, and seatbelts stay fastened whenever the sign is on.
• ·Take-off and landing can make ears pop; swallowing, yawning, or chewing gum helps. Avoid flying with a heavy cold if you can.
• ·Long flights serve meals and drinks; alcohol hits harder at altitude, so hydrate with water too.
• ·Walk the aisle occasionally and flex ankles to reduce stiffness; respect crew instructions if the seatbelt sign is on.
• ·Entertainment screens, USB ports, and Wi-Fi vary by aircraft; download a few films or podcasts offline as backup.

Arriving in the US: border, bags, and leaving DFW

• ·Follow signs to “Arrivals”, “Immigration”, or “Passport Control” before baggage claim; do not use your phone in restricted areas if signs say not to.
• ·You will speak with a CBP officer, have fingerprints and a photo taken, and answer short questions about the purpose and length of your visit; honest, simple answers are fine (“wedding of friends”, hotel or Airbnb address).
• ·Collect checked bags from the carousel that matches your flight on the monitors; then follow signs to customs and the exit.
• ·If you are not a US citizen, machines and apps sometimes change; follow airport staff directions for the queue you should use.
• ·DFW is enormous: once landside, follow signs for “Ground transportation”, “Ride app pick-up”, or your rental car shuttle; allow extra walking time.
• ·Uber and Lyft pick-up zones are marked in the app; confirm the terminal and level with your driver.

Driving, tolls, and getting to the venue

• ·Americans drive on the right; speed limits are in miles per hour; “yield” means give way.
• ·Rental desks may offer toll passes; ask how tolls are billed so you are not surprised by admin fees later.
• ·Sat-nav: save “The Olana, 1851 Turbeville Road, Hickory Creek, TX” offline in Google Maps or Apple Maps before you leave Wi-Fi.
• ·Petrol is purchased in gallons; most pumps are self-serve. Pay at the kiosk with a card if unsure.
• ·If you are not driving, Uber/Lyft between DFW, Lewisville, Hickory Creek, and Fort Worth is common; check prices at off-peak times when you can.

Money, phones, eSIM, and staying in touch

• ·Bring at least one physical chip (and PIN-capable) Visa or Mastercard. Apple Pay and Google Pay work in many chains, but plenty of US restaurants, independents, and parking machines still want a card you can insert, swipe, or hand to staff; do not rely on phone tap alone.
• ·Tell your bank you are travelling if they still use fraud blocks; carry two cards if possible (separate accounts). Keep a little cash for the odd place that is card-only in theory but flaky in practice.
• ·An eSIM is a digital SIM you download to a compatible phone (most recent iPhones and many Androids). Instead of paying your UK network’s US roaming rates, you buy a short data bundle from an eSIM provider and switch data to that plan while you are away; often far cheaper for maps, WhatsApp, and Uber.
• ·We have had great luck with Instabridge’s eSIM: open the app, buy a US data pack, and activate before you fly or on arrival. Pricing moves with promotions, but we have seen light-use options in the region of about £3.50 for 14 days / 3 GB, enough for messaging, maps, and email on the go if you use hotel Wi‑Fi for heavy downloads. Compare packs inside the app before you pay.
• ·WhatsApp and iMessage work on Wi-Fi; US numbers use +1 dialling codes.

Health, jet lag, and the Texas heat

• ·Texas in late October is usually warm by UK standards, but cold fronts happen; pack layers and comfortable shoes for walking at the Stockyards.
• ·Central Daylight Time is six hours behind the UK in late October; more sunlight in your evening at first, which can disturb sleep.
• ·Sunscreen still matters on bright days; hydrate more than you would at home if you are out walking.

If something goes wrong

• ·Flight cancelled or delayed: queue at the airline help desk and use the airline app simultaneously; ask what they can offer for hotels or rebooking.
• ·Lost bag: file a report at the airline baggage office before you leave the airport; keep the reference number.
• ·Lost passport in the US: contact the nearest British embassy or consulate for emergency travel documents; this is slow, so guard your passport carefully.
• ·Emergency services in the US: dial 911 for police, fire, or ambulance.

British Airways

Direct LHR ↔ DFW on a wide‑body jet is common; good if you collect Avios or prefer Terminal 5 at Heathrow.

American Airlines

AA operates many of the same non‑stop routes with a strong DFW hub, helpful if you need flexible domestic add‑ons within the US.

Virgin Atlantic

Virgin also markets LHR–DFW service (sometimes codeshare with partners; check the operating airline when you book).

Compact or mid‑size saloon

Best for: 1–3 guests, light luggage

Easiest parking at hotels and in Fort Worth; good fuel economy for Lewisville ⇄ Stockyards runs (often about 45–55 minutes). Late October in North Texas is usually mild; no need for AWD unless you simply prefer a taller seat height.

Mid‑size SUV (RAV4 / CR‑V class)

Best for: 3–4 adults plus outfits and cases

Extra boot space for wedding clothes and gifts; more comfortable when I‑35 traffic bunches. Still fits typical suburban hotel bays.

Minivan or large SUV

Best for: Families or one shared car for several guests

Worth it when you are stacking luggage, car seats, and passengers. Book early; DFW weekends can sell through larger classes when Dallas or Fort Worth has big events.

ESTA / entry to the United States

ESTA stands for Electronic System for Travel Authorization. It is an online check, not a visa in your passport, that confirms you may travel under the Visa Waiver Programme for short visits such as tourism. UK passport holders usually apply once per passport, pay a small fee, and keep the approval reference with their tickets. Apply only through the official US government ESTA site (link below). If you have ever had certain visa refusals or a criminal record, check eligibility carefully; some travellers need a full visa instead.

Money, cards, Apple Pay, and tipping

Bring a physical bank card: many places take contactless, but not everywhere accepts Apple Pay or Google Pay, and some terminals still expect insert/swipe. For tipping, sit-down restaurants are the main place UK visitors need to think about it; 18–20% is common when service is not already included. You do not usually tip at supermarket tills, newsagents, or for a quick bottle of water at a counter (Reuben once tipped on a bottle of water thinking he had to, lovely gesture, but the cashier looked confused). If in doubt, watch what locals do or ask once.

Insurance and health

Travel insurance that covers medical care in the US is strongly recommended; healthcare costs without insurance can be very high. Keep a digital copy of your policy and emergency number.

Weather in late October

North Texas is usually mild to warm in late October (often roughly 18–28°C / mid‑60s to low‑80s °F), but cold fronts happen; pack one light jacket and something comfortable for walking outdoors at the Stockyards.

Jet lag

Texas is 6 hours behind the UK in late October (CDT). Flying west is kinder than flying east; give yourself a buffer day before the big weekend events if you can.
